As Special Events & Volunteer Manager, you are both a master at creating incredible experiences for our community partners, as well as courting sponsorships and strategic partnerships to make it all happen. As a events planner, you have a true passion for building the best experience for families and adults with autism, finding ways to continuously exceed their expectations and make them feel like rockstars. You know how to build—and coordinate—a great program, like our Events With Jonathan program in partnership with the Orlando Magic, and you enjoy working a flexible schedule so you can be present at evening events.
As a nonprofit events manager, you like the opportunity to build strategic partnerships with corporations and community leaders, as well as earning sponsorships to help fund our programs. JOB RESPONSIBILITIES AND REQUIREMENTS :
Events With Jonathan
• Collaborate with partners like the Orlando Magic and Orlando City Soccer to coordinate suite gifting for sporting events through our Events With Jonathan (EWJ) program.
• Identify and secure sponsorships for EWJ to help offset programming costs, and secure strategic partnerships with suite owners and other corporate partners to secure both suites and program materials / needs.
• Work with leadership and our partners at the Orlando Magic to scale EWJ into a national program that we can beta test with other NBA teams across the country.
• Create and execute a gratitude plan for all sponsors / partners and organizations we serve to truly make them feel seen and recognized for their contribution to our program and our community.
• Manage and oversee all aspects of event logistics, including ticketing, food & beverage orders, and clear communications for each event with internal team, sports team, and attending organization.
• Build relationships with other nonprofit organizations we serve and coordinate the logistics of their attendance at events.
• Serve as the onsite event-day ambassador for organizations, families, and guests—including welcoming attendees, sharing our brand story, and ensuring the experience is maximized for attendees.
General Events & Outreach
• Plan, coordinate, and execute various events, including fundraising and community event, managing event logistics, venue selection, set up and breakdown, catering, audio-visual, giveaways, branded merchandise, and marketing collateral requirements depending on the type of event.
• Collaborate with internal teams and external vendors and project manage all aspects of coordination to ensure successful event execution.
• Attend events as an ambassador of the organization, sharing our brand story and ensuring an incredible experience for attendees and guests.
• Conduct research and keep an organized roster relating to venues, materials costs, vendors, organizational practices, and other subjects as needed to support the efficiencies of events.
• Manage communication and responses to external and internal event inquiries as needed.
• Collect data-informed and actionable feedback and evaluate the success of events and volunteer programs, identifying areas for improvement and implementing enhancements.
• Prepare post-event reports, including attendance metrics, financial summaries, and volunteer participation data.
Volunteer Management
• Recruit, train, and on-board volunteers to support organizational activities and events.
• Develop volunteer schedules, assignments, and ensure adequate coverage for all events and programs.
• Provide ongoing support, guidance, and recognition to volunteers, fostering a positive and engaging volunteer experience.
• Maintain volunteer database, track volunteer hours, and provide regular reports to management.

QUALIFICATIONS
• Experience with event planning, coordinating teams, and maintaining a budget.
• Excellent verbal and written communications skills and an ability to interact with a variety of individuals and organizations.
• Detail-oriented, deadline-driven self-starter with strong customer service and organizational skills.
• Ability to manage multiple events simultaneously, set priorities, identify and address challenges.
• Proficient with Microsoft Office Suite and project management.
